Musly Events Coordinator (Global), Remote, FT position Location: Remote (NYC/London/Dubai time zone overlap preferred) Reports to: CEO Type: Full-Time. REMOTE Location: we hire worldwide and this is remote. If you live in any of the following areas that is a plus: Paris, Toronto, Turkey, Riyadh, UAE, NYC, Houston, Chicago, LA, Doha Travel: there is no travel involved in this role. Musly is the private members’ club for exciting Muslims, worldwide - bringing together founders, creatives, operators, investors, and game-changers through intimate gatherings and a global community. We are hiring an Events Coordinator to manage and execute Musly’s events across multiple cities accross the world. This role ensures that every event runs smoothly, feels elevated, and stays on budget. This is a highly operational, detail-driven role for someone who thrives in logistics, hospitality, and coordination. Ideal candidate: 1–3 years post-college, exceptionally organized, with hands-on experience coordinating events and managing vendors across multiple cities. What You’ll Own 1. Event Planning & Execution Coordinate logistics for all events across cities Confirm venue bookings, deposits, and payment timelines Manage headcounts and RSVP tracking Communicate dietary restrictions and final counts to venues Prepare run-of-show documents Confirm seating maps and table layouts Ensure all event details are finalized in advance Guarantee the Musly experience is consistent across cities. 2. Venue & Vendor Coordination Research and propose venues aligned with Musly’s aesthetic Collect pricing ranges, minimum spends, and private room details Track contracts and payment deadlines Maintain a clean, organized venue database Coordinate with hosts, videographers, and brand partners Confirm vendor expectations before each event 3. Contractor & City Support Work with city-level contractors and Musly hosts to: Review proposals Confirm budgets Align on run sheets Ensure guest flow is clear Hold weekly check-ins as needed Flag risks early (low headcount, venue issues, timing concerns) 4. Guest Experience & Communication Manage event confirmations Send final guest emails (time, location, expectations) Ensure dietary restrictions are handled Coordinate post-event feedback collection 5. Budget & Tracking Track spend and per-event budgets Reconcile invoices post-event Monitor margins Flag overages or discrepancies immediately 6. Systems & Organization Keep internal systems organized and updated Maintain event templates and checklists Improve documentation for repeatability Ensure all files are easy to locate and standardized Who You Are 2–5+ years in events, hospitality, or operations Extremely organized and detail-oriented Comfortable juggling multiple cities and time zones Calm under pressure Strong written communicator Enjoys making in person experiences
